Correct common banking and invoice discrepancies in QuickBooks Online
QuickBooks Online can show a banking or invoice discrepancy for a few different reasons. A known product issue can leave a bank rule looking applied while the transfer remains uncategorized. A lost vendor payment can be replaced without disturbing reconciled history. A closed invoice can still show the wrong open balance, and a customer credit can appear in a report in a way that surprises you. This page walks through those situations and the corrections that fit each one.
Bank rules not applying to transfers
Bank rules normally let you automate the category on downloaded transactions. For transfers, QuickBooks Online has a known issue where the rule can show as applied but the transfer still appears as Uncategorized Asset in the banking feed. Intuit has acknowledged the issue and says its engineers are working on a fix.
Until the fix is available, open the affected transfer in the Banking tab, choose the correct category, and save the change. Do that each time a transfer fails the rule. Check the payee and memo on the download if the rule usually works for similar transactions, but the safest temporary method is to categorize the transfer by hand. This keeps the bank feed from carrying an incorrect balance into your books.
Record a lost or stopped vendor payment without voiding the original
If you paid a vendor by check or electronic payment and the payment was lost or never cleared, you can record the replacement without voiding the original transaction. Voiding the original can remove it from cleared history and change prior reconciliations. Leaving it intact preserves that history.
To record the replacement:
- Add a bank account named Clearing to the chart of accounts.
- Record a bank deposit into your main bank account. Choose the Clearing account as the source of the funds.
- Enter the replacement payment as a check or expense payable to the vendor. Use the Clearing account as the account.
A clearing account is a temporary account used only to move the returned or replacement funds through the books. After the deposit and the new payment, the Clearing account should end at zero. If it does not, check that both sides used the same account and the same amount. The original vendor payment remains in place with its original status, so the vendor record and reconciliation stay intact.
Incorrect open balances on invoices
Some QuickBooks Online users report that invoices with full or partial payments still display the wrong open balance. Intuit has said its engineers are investigating reports of incorrect invoice balances.
Until that display issue is resolved, do not rely on the open balance shown on the invoice. Open the payment history for the invoice and compare it with the customer’s transaction list before sending a statement, applying a credit, or writing off an amount. Manually reconciling the two views helps you see whether the problem is only the displayed balance or whether a payment was recorded in the wrong way. Keep a note of the invoice number and the payments you have checked.
Customer credits and A/R classification
A customer credit in QuickBooks Online is held in accounts receivable. It creates a negative A/R balance, which reduces total receivables on the balance sheet. The product does not have an automatic way to move customer credits or retainers to a liability account.
If you need to report credits as liabilities, use an office procedure. Before finalizing invoices, run a report on the specific liability account and apply the correct amounts manually. This is a reporting limitation, not a sign that the credit was entered incorrectly. The manual step is the only reliable way to get the liability-account presentation you want for internal reports.
Vendor-side issues versus corrections in your file
The bank rule and invoice balance problems depend on Intuit to fix. You can still do the manual work above so your records stay usable. For a lost vendor payment or a customer credit classification, the correction is within your own QuickBooks Online file.
