Users

Manage users and troubleshoot common access issues

Learn how to manage user access in QuickBooks Online, resolve pop-up issues, and troubleshoot common alerts or errors.

Add and manage users

To add a new user to your company:

  1. Select the Gear icon, then select Manage Users.
  2. To add an accountant, select Invite Accountant.
  3. To add a standard user, select Add (or New).
  4. Select the user type you want to add and follow the on-screen prompts to set their permissions.

You can customize exactly what information your users have access to during this setup.

”New” button doesn’t work when adding a user

If you are on the Manage Users page and clicking New or Add does nothing, this is almost always caused by a pop-up blocker in your browser.

Concurrent user limits

The number of users who can work in your company file at the same time depends on your subscription:

Access restrictions (Time and IP)

Currently, QuickBooks Online does not offer features to limit login access based on specific days, times, or source IP addresses.

If this is a critical feature for your business, we encourage you to share your feedback with our product engineers. Intuit values customer input:

  1. Select the Gear icon.
  2. Select Feedback.
  3. Select Post your own idea to submit your suggestion.

Troubleshooting errors and alerts

Unrecoverable Error (Code 20035 19089)

If you encounter an “Unrecoverable Error” with specific codes, it often indicates a damaged or missing browser component. You may need to run a repair tool on your browser or clear your cache and cookies to resolve the conflict.

Receiving multiple text message alerts

We are aware of an issue affecting a small percentage of users who are receiving duplicate text message alerts for various QuickBooks activities. Our specialists are actively working to resolve this.

To stop the texts immediately: Reply to the text message with the word STOP.

If clicking Print produces no result, ensure your browser’s pop-up blocker is disabled, as the print preview often opens in a new window. Additionally, verify that your browser is up to date and that QuickBooks Online is not running in an incompatible or private browsing mode.
