Managing Common QuickBooks Online Tasks

This guide covers solutions for several common tasks and questions regarding QuickBooks Online, including payroll adjustments, banking connections, and transaction management.

Payroll Management

Updating Direct Deposit Before Processing

If you need to correct an employee’s direct deposit bank information after a paycheck has been sent but before the ACH transaction has occurred, you cannot edit the paycheck directly. Instead, follow these steps:

  1. Void the paycheck and send the void request immediately. This stops the direct deposit transaction.
  2. Update the employee’s bank information in their profile.
  3. Recreate the paycheck with the correct details and send it again.

Troubleshooting Tax Calculations

If QuickBooks Online is not calculating taxes for a specific employee while calculating correctly for others, try resolving the data issue for that specific employee:

  1. Go to the Workers or Payroll menu.
  2. Select Pay Employees.
  3. Right-click on the employee experiencing the issue.
  4. Choose the Revert or Restart paycheck option to refresh the calculation.

Banking and Transactions

Entering Credit Card Purchases

To ensure a credit card purchase matches correctly when you sync your bank feed, enter the transaction manually before importing:

  1. Go to the + New menu.
  2. Select Expense or Journal Entry (depending on your specific workflow).
  3. Select the specific Credit Card account from the Payment account field.
  4. Enter the purchase details and save.
  5. When you sync the bank feed, QuickBooks Online will attempt to match the downloaded transaction to the entry you created.

PayPal Debit Card Sync

Currently, the Sync with PayPal app does not support the automatic import of transactions made using PayPal-branded Debit Cards. We are aware of this limitation and are gathering feedback from users. We may offer opportunities for customers to opt-in to testing future functionality that supports native importation for these cards.

Reporting and VAT

Reviewing Unclaimed VAT on Prior Returns

To identify purchase invoices received or entered after a VAT return was filed (and therefore not claimed):

  1. Navigate to Taxes (or VAT) in the left navigation menu.
  2. Select the appropriate tax agency.
  3. Look for the VAT History or Previous returns section.
  4. Open the reports for the filed period. You can review the filed VAT detail and check for any exception reports that flag out-of-period postings.

Important Note on Product Versions

This guide applies exclusively to QuickBooks Online, the cloud-based product. If you are using a desktop version (such as QuickBooks Premier, Enterprise, or Pro) or a region-specific version (e.g., US software used in the UK), the steps and features mentioned here may not apply. Desktop versions have different menus (e.g., “Edit > Preferences”) and cannot be converted between country-specific versions.
