Manage your QuickBooks Payments account

Linking your merchant account to QuickBooks Online
If you are moving from QuickBooks Desktop to QuickBooks Online, you can link your existing merchant service account to your new online company.
Before you begin:
- You must be able to log in to your QuickBooks Desktop file as the Administrator.
- You must be the Master Administrator of the QuickBooks Online company.
- Ensure you have access to the email address originally used to set up the merchant account.
Steps to link:
- Log in to your QuickBooks Desktop file as the administrator.
- Go to the Company menu and verify your merchant service settings.
- Follow the prompts to initiate the transfer of your merchant account to QuickBooks Online.
Processing ACH refunds
Currently, QuickBooks Payments does not support the ability to process refunds directly back to a customer’s bank account for original payments made via ACH (Bank Transfer).
To refund a customer who paid via ACH:
- Write a check or use another method (such as cash or a different card) outside of QuickBooks.
- Record the refund in QuickBooks so your books remain accurate.
We are constantly updating features based on customer feedback. To suggest this feature for future development, select the Gear icon and choose Feedback.
Updating business information (EIN)
If you need to update sensitive business information like your Employer Identification Number (EIN) and receive a “validation offline” error, you must contact QuickBooks Payments support directly. For security and privacy reasons, account details cannot be changed via community forums or help articles.
- Visit Intuit Payments Support or use the Help menu in QuickBooks Online to contact support.
Identifying legitimate emails
If you receive an email asking you to click a link to verify “new transaction security standards” or update account details, proceed with caution.
- Do not click the link in the email.
- Log in to your merchant account manually through the QuickBooks Online website or the Intuit Merchant Service Center.
- If a legitimate update is required, you will see a notification or alert after you securely log in.
Canceling QuickBooks Payments
To turn off or cancel your QuickBooks Payments subscription, you must contact us directly. Account cancellations cannot be processed entirely through the software interface for security reasons.
- Go to QuickBooks Contact Options.
- Select Phone to view the current support numbers for your region.
